Create New Vessel Profile
Vessel Profiles can be created via the “Vessel Profiles” screen or directly via an existing vessel repository record.
Via “My Vessel Profiles”
Click “Add New” to create a new vessel profile. The vessel repository records will be displayed in the “Vessel selection” screen. You may create a profile for vessel repository records created by another organisation. Click “Details” to view the record, or click the “Create profile” button to create a profile for the vessel.

Tip: If you are unable to locate a vessel in the “Vessel selection” screen:
- Another user in your organisation may have already created a vessel profile for the vessel. Search your organisation’s vessel profiles to confirm.
- A vessel repository record may not yet exist for the particular vessel. Search the vessel repository to confirm and add a new record if one is not found.
Via a Vessel Repository Record
You can create a vessel profile directly in an existing vessel repository record by clicking the “Create profile” button. You will be redirected to the profile creation screen.

Completing the Profile
Complete all mandatory fields which are marked with an asterisk (*), as well as any other relevant information. Several fields are prepopulated by data retrieved from the vessel repository record, but are still editable. Fields with a gray background are not editable.

Owner and Operator Information
In the “Owner Information” section, if the entry you require is not found via the advanced search feature, click the drop down arrow to expand the section and fill in the organisation details in the fields displayed.
However, in the “Operator information” section, an entry must be selected from the repository. If the entry you require is not found via the advanced search feature, contact support via support.portlink@gov.tt

Vessel Safety and Security Information
To comply with national and international standards, all vessel profiles must maintain up-to-date safety and security data. This information should be sourced directly from the vessel’s official certificates (e.g., Certificate of Registry, Tonnage Certificate, and P&I Coverage).

For each section, users must provide:
- Document reference: The unique ID found on the official document.
- Expiry date: The date the current document ceases to be valid.
- Supporting documents: A soft copy (digital upload) must be attached to the profile.
Click the plus (+) icon in the “Add document” section to attach the supporting documents. Pay attention to the permitted file size and types.
Click the drop down arrow in the “Document type” field to select a document type. The mandatory documents are marked with an asterisk. Next, click “Search” to browse the documents available on your device.

When a document is selected from your device, the document name will appear below the search button. Click “Add this document” to attach the selected document to your vessel profile.

Automated Expiry Notifications
The PCS monitors validity periods based on the expiry dates provided. When a document expires, the system will trigger a notification to alert you that an update and a new valid document upload are required. The email will be triggered every day, until a valid document is provided.

To remove an attached document, click “Delete”. A pop-up message will prompt you to confirm or cancel the action.

To save your progress, click “Save as draft”. You can retrieve the draft profile via the “My vessel profiles” screen and click the pencil icon to continue creating the profile.
The vessel profile may only be deleted while in draft status. To delete a draft profile, click “Delete”. A pop-up message will prompt you to confirm or cancel the action.
When the profile is completed, click “Save as Valid”.
