Manage Services and Roles

The various PCS modules are referred to as “services” and each service provides access to the specific features and functions of that module (e.g. Administration, Maritime, Logistics). The PCS organisations are assigned services based on the features and functions required to conduct their business activity on the system.

Organisation and Group Admins can view the services that have been assigned to the organisation by clicking the “My services” tab in the navigational menu. Alternatively, you can open the organisation account and select “Services” in the menu above the organisation details. The assigned services are listed along with the number of users that have been granted access to the service.

Request New Service

If your organisation requires access to another service that has not been assigned during registration, you may submit a request via email to the PCS Operator Unit at support.portlink@gov.tt
An email will be automatically sent to the organisation’s email address when a new service has been assigned.

Assign Roles to Groups or Members

Each service is associated with application roles and each role provides access to one function of a service. When the Organisation or Group Admins selects a service, the system displays the available roles and associated user groups. If you require access to another service role that has not been assigned during registration, you may submit a request via email to the PCS Operator Unit at support.portlink@gov.tt
The group folders can be expanded by clicking the arrow on the left of the group name to display the users within the group.

A role can be assigned to all the users within a group by clicking the red dash in line with the group name within the role’s column. A role can also be assigned to an individual user by clicking the red dash in line with the user’s name within the role’s column. The red dash will be updated to a green checkmark when a role has been successfully assigned.
It should be noted that once a user has been assigned a role, the user will have the role across all the groups to which the user belongs. If the user belongs to multiple groups, each with its own actor, the user will be required to select the actor they wish to use before proceeding to access the function.

A role can be assigned to any group or user, however the actor type associated with the user’s group ultimately determines a user’s scope of actions, visibility and authorization, regardless of the access granted. For example, a user assigned to the “Manage voyages” role in the Voyage Module may login in to PCS, navigate to the Voyage module and view the organisation’s voyage records. However, if the user does not belong to a group that is associated with the Freight Agent actor type, the user will not be permitted to create a voyage record. Therefore, please pay attention to the group name when assigning roles to groups or users within a group.

Remove Roles from Groups or Members

To remove a role from an individual user, click the green checkmark in the role’s column in line with the user’s name. The checkmark will be updated to a red dash.
To remove a role from an entire group, click the green checkmark in the role’s column in line with the group’s name. The checkmark will be updated to a red dash.
An email will be automatically sent to the organisation’s email address if the organisation’s roles are updated.
